How To Add An Email Signature In Gmail

adding a gmail signature

A professional email signature is an automated footer that includes crucial details like your contact information and often a company logo or headshot. This guide covers how to not only add an image to your signature but also make that image (or text) a clickable link.

Step-by-Step Guide to Adding and Linking Your Signature

      1. Open Gmail: Access your mail in a web browser.

      1. Access Settings: Click the Settings gear icon in the top-right corner, then select See all settings.

      1. Locate the Signature Field: Scroll down the settings page until you reach the “Signature” section.

    1. Adding an Image

        • Create a New Signature: If you haven’t already, click Create new and name your signature.

        • Insert Image: Within the signature text box, click the Insert Image icon. You can upload a file from your computer, provide a web URL, or select an image from your Google Drive.

Tip: If you get a character limit error after inserting the image, you may need to compress or resize the image file before re-uploading.

      2. Adding a Hyperlink

You can make your signature image (like a logo) or a section of text (like your company website) a clickable link.

          • For Images:
                • Click on the image you just inserted.

                • Click the Link icon in the formatting toolbar.

                • Click OK.

            • For Text:
                  • Highlight the specific text you wish to make clickable (e.g., “Visit Our Website”).

                  • Click the Link icon and enter the destination URL.

                  • Click OK.

                1. Set Defaults (Optional): Below the signature box, use the dropdown menus to select which signature should be used as the default for new emails and which should be used for replies/forwards.

              1. Save: Click Save Changes at the bottom of the page to apply your new, linked signature.

Managing Multiple Sending Addresses (Send mail as)

If you use Gmail’s “Send mail as” feature to handle different email addresses in one account, you can set a unique signature for each one.

                  • Select Address: Use the drop-down menu situated above the signature text box on the Settings page to choose the specific address you are creating a signature for.

                  • Verification: If you don’t see this menu, ensure your addresses are correctly configured by checking the “Send mail as” section on the Accounts and Import settings page.

How To Add It To My Phone?

The rich-text signature you create on a desktop will automatically be used by your mobile app, provided you turn off the basic “Mobile Signature” feature on your phone.

Step 1: Create the Signature on a Computer (Must be done first)

Use the instructions provided previously to set up your full, hyperlinked image signature via the Gmail website in a browser (on a laptop or desktop).

Step 2: Disable the Mobile Signature on Your Phone

Once the rich-text signature is saved on the desktop, follow these steps in your mobile app:

                For iPhone & iPad (iOS)

                    1. Open the Gmail app.

                    1. Tap the Menu icon (three lines) in the top-left corner.

                    1. Scroll down and tap Settings.

                    1. Select the Email Account you want to apply the signature to.

                    1. Scroll to the “General” section and find Signature settings (or Signature).

                    1. Ensure the “Mobile Signature” setting is turned OFF or the text field is empty.
                          • Result: By leaving the mobile signature empty or turning it off, the Gmail iOS app will use the sophisticated signature you saved from your desktop.

                    For Android

The Android app only supports a plain text signature. It does not automatically pull in the full rich-text signature from the desktop.

                        • If you leave the Mobile signature blank, no signature will be added when you send mail from the Android app.

                        • If you enter text in the Mobile signature field, only that plain text will be used.

                      Workaround for Android Users:

                          1. Open the Gmail app.

                          1. Tap the Menu icon (three lines) in the top-left corner.

                          1. Scroll down and tap Settings.

                          1. Select the Email Account.

                          1. Tap Mobile signature.

                          1. Enter a short, simple, plain-text signature (e.g., “Sent from my mobile device”) or leave it blank. Tap OK.

The only way to send a rich, linked image signature on Android is to compose the email using your mobile browser (like Chrome or Firefox) and view the desktop version of the Gmail site.
